# MedicalVTT Privacy Policy

This Privacy Policy explains how [Your Legal Name or Company Name] ("MedicalVTT," "we," "us," or "our") collects, uses, stores, and protects information when you use MedicalVTT, including the MedicalVTT mobile application, website, subscription features, and related services (collectively, the "Service").

MedicalVTT is built as a medical voice-to-text productivity tool. We designed the Service to minimize the amount of information we collect. In particular, MedicalVTT does not save audio recordings on our servers and does not store your dictated transcript text on our servers as part of normal app use.

By using the Service, you agree to this Privacy Policy. If you do not agree, do not use the Service.

## 1. Information We Collect

We collect only limited information needed to operate accounts, subscriptions, access codes, and custom phrase features.

### Account Information

If you sign in, we may collect and store:

- Your email address.

- Your user account identifier.

- Your display name, if provided by the sign-in provider.

- Your authentication provider, such as Apple or anonymous guest sign-in.

- Account creation, update, and sign-in metadata.

If you continue as a guest, the app may create an anonymous account identifier so app data can work with account and sync features.

### Custom Phrases and Library Entries

If you create custom phrases, custom medical terms, or correction entries, we may store:

- The phrase or term you want the app to recognize.

- The corrected or replacement text.

- Whether the phrase is enabled.

- Related timestamps or sync metadata.

Custom phrases may be saved locally on your device. If you are signed in and syncing is available, custom phrases may also be stored in our cloud database so they can sync with your account.

You should not include patient names, patient identifiers, or protected health information in custom phrases unless you have determined that doing so complies with your legal, professional, employer, and institutional obligations.

### Subscription and Access Information

We may store limited information related to subscription status and access, such as:

- Whether your account has active subscription access.

- Subscription product identifiers.

- Subscription dates or status metadata.

- Access code status.

- Business access or organization access metadata, if applicable.

Payments and App Store subscriptions are processed by Apple. We do not receive or store your full payment card number from Apple.

### Dictation and Transcript Content

MedicalVTT uses your device microphone and speech recognition features to convert speech into text. The app does not save audio recordings on our servers. Dictation text is intended to remain in the app session unless you choose to copy, share, export, save, or otherwise use it.

The app may temporarily display or hold dictated text on your device so you can edit, copy, share, or work with it. If you copy, share, paste, export, or save text outside MedicalVTT, that information is handled by the destination app, system service, record system, cloud service, or recipient you choose.

### Device, Diagnostic, and Usage Information

We may receive limited technical information needed to operate, secure, troubleshoot, and improve the Service, such as app version, device type, operating system version, authentication status, subscription status, error messages, crash reports, and general usage events.

Some diagnostic or platform information may be collected by Apple, Firebase, or other service providers according to their own privacy practices.

## 2. Information We Do Not Intentionally Collect

MedicalVTT is designed so that we do not intentionally collect or store the following on our servers as part of normal app use:

- Audio recordings of your dictation.

- Full dictated transcript text.

- Patient charts, patient records, or medical record files.

- Full payment card numbers.

Because custom phrases are user-entered, you control whether they contain sensitive information. Please avoid entering patient-specific information into custom phrases.

## 3. How We Use Information

We use information to:

- Provide, maintain, and improve the Service.

- Create and manage user accounts.

- Authenticate users.

- Sync custom phrases and library entries when enabled.

- Verify subscription status and access code eligibility.

- Provide customer support.

- Troubleshoot bugs, crashes, errors, and account issues.

- Protect the Service from misuse, fraud, unauthorized access, and abuse.

- Comply with legal obligations.

We do not sell your personal information.

## 4. Speech Recognition, Microphone Access, and Third-Party Processing

MedicalVTT requires microphone and speech recognition permissions to provide dictation features. Speech recognition may be provided by Apple or device-level speech recognition services. Depending on your device settings, operating system version, language, and Apple service availability, audio or speech data may be processed on your device or by Apple services.

Your use of Apple speech recognition, Apple Sign in, App Store subscriptions, and other Apple services is also subject to Apple's privacy terms and settings.
